CC:DA ALA Annual Report 2022

Report of the MLA Liaison to CC:DA Prepared by Keith Knop CC:DA met virtually over two days, July 18-19, 2022. Minutes of the meeting are not yet available. Liaison Reports Melanie Polutta reported on activity at the Library of Congress (full report: https://alcts.ala.org/ccdablog/?p=5292). She highlighted two forms for providing feedback on LC-PCC PS and the associated PCC documents, one for reporting simple mechanical or typographical errors (https://loc.libwizard.com/f/lc-pcc-ps-error-report) and one for feedback or questions on the content (https://docs.google.com/forms/d/e/1FAIpQLSdSXHgduC1TnjXS7ERb0ggGyaIr3Z5xVeqUWyQ2fzEHioQR_w/viewform). There is also a public spreadsheet tracking revisions and answered questions (https://docs.google.com/spreadsheets/d/1vDPelYCMCtdEc4iahZ0bx_9r7AoH1B6boi_yAflvJ-8/edit#gid=0). A number of vocabulary changes in LCSH have gone through or are in process, notably including the removal of “primitive” from preferred terms in most contexts. MARC Advisory Committee (MAC) Annual Meetings, June 28-29, 2022 Report by Karen Peters (Library of Congress), Chair, Encoding Standards Subcommittee (Recordings of the meetings are available here; note that timestamps are provided for each paper)   MAC Meeting No. 1, June 28, 2022, 10:30-12:35 EDT MAC Chair Cate Gerhart opened the meeting and explained the protocols for this set of virtual meetings, which were held via WebEx. After the MAC members introduced ourselves, the minutes from the January 2022 meetings were approved.   It was noted that two fast track proposals have been approved since the January meetings:  No. 2022-FT01, from the PCC Standing Committee on Standards, was converted from Discussion Paper No. 2022-DP04 at those meetings and approved. The proposal added subfields $i (Relationship information) and $4 (Relationship) to Field 373 (Associated Group) in the Authority Format. ALA Core Subject Analysis Committee meetings, June 8-10, 2022 reported by Janelle West, MLA CMC Vocabularies Subcommittee Chair and liaison to SAC The ALA Core Metadata and Collections Section Subject Analysis Committee (SAC) met virtually on June 8-10, 2022.  The first meeting focused on questions and answers on pre-submitted written reports from liaisons and ex officio members:   National Library of Medicine, Barbara Bushman, liaison  Written report: SAC22-AN-NLM  Highlights: Some staff back onsite, though building renovations require many to remain offsite. NLM remains closed to public visits Tina Shrader appointed Head of the Cataloging & Metadata Management Section in April 2022 Focus of the 2022 winter edition of the NLM Classification was the evaluation of the 2022 MeSH vocabulary for inclusion in the Classification index. ALA Core Subject Analysis Committee meetings, July 22-23, 2021 reported by Rebecca Belford, MLA CMC Vocabularies Subcommittee Chair and liaison to SAC The ALA Core Metadata and Collections Section Subject Analysis Committee (SAC) met virtually on July 22, 2021 and July 23, 2021. Meeting #1, June 28, 2021, 10:30-12:30 EST Chair Matthew Wise opened the meeting and explained the protocols for this set of virtual meetings, which were held via WebEx. After the MAC members introduced ourselves, minutes from the January 2021 meetings were approved. No fast-track proposals have been approved since the last meeting. Proposal No. 2021-11, “Defining Subfields $y and $z for Incorrect/Canceled ISSNs in Field 490 of the MARC 21 Bibliographic Format,” was introduced by Jay Weitz on behalf of OCLC. While field 490 permits the entry of ISSNs in subfield $x, there is currently no means of reflecting the status or accuracy of this information, if known. Committee on Cataloging: Descriptive Access (CC:DA): Virtual ALA, Summer 2021 Keith Knop, MLA Liaison The Core Committee: Description and Access held a virtual meeting on July 26, compressed due to scheduling difficulties from three meetings originally planned for earlier in the month. Due to the shortened meeting time, most of the time was spent on highlights from the various written officer and liaison reports. Vocabularies Subcommittee Report: ALA Summer 2020 Virtual Business Meetings Reported by Rebecca Belford (Oberlin College & Conservatory), Chair, MLA CMC Vocabularies Subcommittee CaMMS Subject Analysis Committee (SAC) SAC met virtually on June 19, 2020, with Brian Stearns chairing. Unlike the traditional ALA meetings, there was no presentation, only a business meeting. Topics included:   Best Practices for Recording Faceted Chronological Data in Bibliographic Records This document was created by a task group, led by Casey Mullin, within the SAC Subcommittee on Faceted Vocabularies (SSFV); see SSFV summary for additional details. The document will be iterative, and an ongoing tool. SAC discussed where to house the document in addition to the ALA Institutional Repository (SAC or SSFV sites), and how to maintain and communicate version control–perhaps numbered versions with have a stable URL to the most recent, similar to MLA’s Best Practices documents. MARC Advisory Committee (MAC) Meetings, June 30-July 2, 2020   Report by Karen Peters (Library of Congress), Chair, Encoding Standards Subcommittee     June 30, 2020 Meeting, 10:30-12:30 EDT   Chair Matthew Wise began the meeting and explained the ground rules for this set of virtual meetings, the first ever such MAC meetings, which were held via WebEx. After MAC members introduced themselves, minutes from the January 2020 meeting at ALA Midwinter were approved, and it was noted that there have been no fast track changes since that meeting.   Proposal No. 2020-04, “Defining a New Subfield for Illustrative Content in Field 340 of the MARC 21 Bibliographic Format,” was introduced by Jodi Williamschen on behalf of NDMSO. CC:DA: ALA Annual Report 2020

Committee on Cataloging: Descriptive Access (CC:DA): July 9, 13, and 15 Report by Keith Knop (University of Georgia), Chair, Content Standards Subcommittee The Association for Library Collections & Technical Services (ALCTS) Committee on Cataloging: Description and Access (CC:DA) held its first virtual meeting, split up into three sessions on July 9, 13, and 15, 2020. A hybrid virtual/in person meeting had been proposed for ALA Midwinter, but that meeting will now also be virtual only. CC:DA Chair Amanda Ros opened the first session with a report on activities of the committee since the last meeting. Six task forces were active, including the Task Force on the “Proposal on Changing Procedural Guidelines for Proposed New or Revised Romanization Tables” to be discussed later in the session. Encoding Standards: ALA Annual Report 2019

ALA Annual Conference 2019, Washington, D.C. Report by Karen Peters (Library of Congress), Chair, Encoding Standards Subcommittee MARC Advisory Committee Meetings (June 22 and 23) Over the course of two meetings, the MARC Advisory Committee (MAC) considered three Proposals–all derived from Discussion Papers presented at the Midwinter Meeting last January–and two Discussion Papers. All three of the Proposals passed. The first Discussion Paper will be fast-tracked, while the second will be coming back as a Proposal at the Midwinter Meeting next January. Besides these five items, there was an issue involving one of Proposals approved at the last Midwinter Meeting to be dealt with. MARC Proposal No. 2019-01​: ​Designating Open Access and License Information for Remote Online Resources in the MARC 21 Formats. While MAC approved this Proposal at its 2019 Midwinter Meeting, the Proposal was not fully implemented due to issues involving the 856 (Electronic Location and Access) field.

The majority of the meeting was devoted to liaison and task force reports; since these reports will be published in the September issue of the ​OLAC Newsletter​ only selected highlights appear in this report.
